Chrome Book Handbook

Welcome to your Chromebook!  

Please review this handbook which includes everything you need to know about care and support of this learning tool.  If you have any questions, please feel free to contact the Henderson Collegiate IT Department. This handbook will help you make the most out of your Chromebook, from day one. You can always visit Google for Education (at edu.google.com) to get the latest news on Chrome and Chrome OS.

Orientation

Elementary school and middle school students will be oriented to a Chromebook that is a part of their class cart during class time with their teachers. High school students will be oriented to their Chromebook around device distribution during the first few weeks of school.  Additional orientation materials will be given to the students at that time.  This handbook will serve as additional information and logistics provided by the Henderson Collegiate IT Department.

Support
  1. High School students (or a teacher on their behalf) MUST submit a Help Desk Support ticket to report any issues or damages. The Help Desk’ link can be found in the Chrome browser in the building bookmarks on the bookmark bar or by emailing helpdesk@hendersoncollegiate.org.  Once a ticket is submitted, students should bring the device to the Help Desk during approved times.
  2. Middle School & Elementary School students should report the issue to their teacher, who will submit a Help Desk Support ticket. The Help Desk link can be found in the Chrome browser in the building bookmarks on the bookmark bar.  Students will remain in the classroom, and the technician will work with the teacher to resolve issues including arriving to pick up the Chromebook if it requires service.
  3. Spare devices will be issued to High School students with a damaged or stolen Chromebook.
  4. Students must follow all guidelines listed under the “Caring for your Chromebook” in this handbook for any Chromebook or spare device issued to them.
  5. High School students will be contacted via email updates from the Help Desk platform when the repairs are completed and their Chromebook is ready to be picked up.  
  6. Damages will be communicated with the High School student with the returned device in the form of a statement. The balance will be added to the student account and payable to the Front Office. Statements should be shared by the student with the student's parent/guardian and also communicated during conferences.

Distribution  / Withdrawal
  • Students K-1: Elementary School students’ iPads will be provided in their classrooms. iPads will remain stored in the device carts; K-1 students are not allowed to take the iPads home, unless required by Henderson Collegiate.
  • Students 2-8: Elementary and Middle School students’ Chromebooks will be provided in their classrooms. Chromebooks will remain stored in the device carts; 2-8 students are not allowed to take the Chromebooks home, unless required by Henderson Collegiate.
  • Students 9-12: Students will  receive their Chromebooks at the start of the school year during school hours after signing and returning the AUP. Announcements will be made during Pride Kickoff alerting students and parents of this distribution.  During this distribution, students will be given a device issued to them in full working condition, along with a charging cord.
  • Graduating seniors: Graduating seniors may have the opportunity to purchase a Chromebook to take with them after graduation.  Upon doing so, the device will be released from all HC licensing and support.  Seniors should keep an eye on their email over the summer for announcements for these opportunities.
  • Withdrawals: Students leaving during the school year MUST RETURN the Chromebook to either the front office or Help Desk.  If a device is not returned, the full cost of replacement will be charged to the family and transcripts will be held until the device is returned or the fee is paid.

Students’ Responsibilities & Expectations
  1. Care for your device (see “Caring For Your Chromebook”).
  2. Your Chromebook includes a charger.  Students in grades 9-12 are responsible for maintaining the condition of not only the Chromebook, but also the charger. (Note - If the school issued charging cord is lost or damaged, students must get a replacement from The Help Desk. The cost of replacing the charging cord will be charged to the student per pricing in the repair section below. If the charging cord is found to be defective, a replacement is given to the student at no cost. The charging cord is the property of HC and must be returned functional with the device at the end of the year to HC IT.  Third-party charging cords purchased by the student or family are not supported.)
  3. Elementary and middle school students’ Chromebooks will be stored and charged in the classroom carts.  Elementary students will not be responsible for damages to the charging blocks/cords but could be held accountable for damages to the Chromebook if determined to be malicious intent.
  4. Protect your Chromebook.  It is your responsibility to keep the device from damage or theft.
  5. The Chromebook is a learning tool and should be with you each day during school.  Students grade K-8 will not be allowed to bring the device home each day.  Their Chromebooks/iPads will be stored in the classroom. Students 9-12 will be required to take the device between school and home.  All guidelines for caring for the school-issued Chromebook apply whilst at home as well as on campus.
  6. High School Students should begin each day with a fully charged Chromebook.  Having the Chromebook with you and charged is part of being prepared for class.  
  7. The Help Desk will not charge devices or provide loaner chargers for High School students who arrive at school with an uncharged device. They can only sell replacement chargers.
  8. Do not remove any school tags or stickers from the device.
  9. Do not lend your Chromebook and account to another student, or use another student’s Chromebook or account.
  10. High School students may get a day loaner device from the Help Desk if they forget their device. Repeatedly forgetting your Chromebook or bringing it to school without being fully charged could result in disciplinary action.

Email & Communication

Beginning with 2nd grade, students are granted access to Google email through Henderson Collegiate’s domain (@hendersoncollegiate.org).

  1. Per the HC Technology Acceptable Use Policy & Device Agreement, students should have no expectation of privacy.  All messages sent and received through the HC Google domain are archived and searchable.
  2. Students' accounts are not used for commercial purposes.
  3. Google Chat or other direct messaging services are disabled for all students.

Cyber Security & Safety

Content filtering: The school utilizes an Internet content filter that is in compliance with the federally mandated Children’s Internet Protection Act (CIPA).  All internet activity is protected and monitored by HC IT, both on and off campus.

Virus protection:

  • The ChromeOS is, by design, well protected from viruses and their behavior as of late.  Very few pieces of software actually execute locally on the Chromebook, because the Chromebook is designed to be a conduit to the internet and browser-based content.  The OS continuously seeks updates each time it boots up.
  • Each web page runs separately from the other.  Each tab is its own instance of the OS.  Should one be infected, it will not infect the others.
  • Certain brands of Chromebook will run hardware checks for tampering upon each boot-up.
  • All data on the device is encrypted for each account.  A user must be signed in to access their data (no other person can access data from a different account).

Caring for your Chromebook
  1. Do not drop, hit or throw the device.
  2. Do not remove the keys from the keyboard.
  3. Do not allow the device to be placed in an area where it may be stepped on or sat upon.
  4. Do not leave the device in a room or car when unattended.
  5. Do not leave your device in a hot car or unheated space. Avoid excessive temperature changes.
  6. Do not use your device in wet environments, such as kitchens or bathrooms.
  7. Chromebooks should never be left in an unsupervised area.  Unsupervised Chromebooks will be confiscated by staff. Disciplinary action may be taken for leaving your Chromebook in an unsupervised location.
  8. Carry your device in a secure manner.  If permitted, bags designed to carry laptops are preferable.  Other options include laptop/neoprene sleeves, binders with a laptop compartment etc.
  9. Students may place stickers or decals on the Chromebook; however it is not recommended. In the event the Chromebook must be repaired and the top or bottom cover replaced, any decoration attached to the exterior of the device will not be restored.
  10. Do not write on or mark the device with any permanent marker, paint etc.
  11. Do not place anything over the camera lens.
  12. Do not use liquid cleaners of any type to clean the device.  A dry rag, microfiber cloth or soft cloth may be used to dust the keyboard or remove smudges from the screen.
  13. Do not have food or drink near the device.  
  14. The charging cord must be carried with the device, and on occasion, may be used by the student during class if the device is not charged, with teacher permission.
  15. Do not tightly wrap the charging cord as that will weaken the cable and damage the charging block.
  16. Do not rest or leave your device on soft surfaces such as beds, couches or carpeted floors.
  17. Do not leave the device unattended near pets.
  18. Do not attempt to repair your device. Bring all damaged devices to the Help Desk. Attempting to repair the device on your own could result in additional damage and charges to repair the device.
  19. If you suspect that your device has been stolen, report it immediately to the Help Desk or the Front office. A POLICE REPORT MUST BE FILED AND A COPY OF THE REPORT SUBMITTED TO THE HELP DESK TO AVOID ANY PENALTY.

Frequently Asked Questions
  • Is the Chromebook filtered/monitored by the School after school hours? Yes. Filtering and logging of internet traffic happens 24x7, so long as the HC Chrome management  license is active on the device.
  • How do the students communicate with each other and teachers? Students grades 2-12 have access to Gmail. Currently students may email outside the hendersoncollegiate.org domain.  Students may also communicate with their teachers through their dedicated learning management system (LMS) platforms like Google Classroom or Canvas.
  • Do students have access to Youtube? Yes.  Youtube is part of the Google Workplace.  Teachers will use Youtube for streaming various classroom resources.
  • Can students be blocked from certain Google Workplace apps or other websites? On a case-by-case basis, students can be restricted from certain apps or features of the Google Workplace or other websites.  Such requests are fulfilled through a request to the Help Desk from the instructions staff from the building.  Parents should first speak with their student’s GLC.
  • What if another student damages my child’s Chromebook? This situation will first be handled as a discipline issue.  If the damage was deliberate and not accidental, then the offending student will most likely be charged for the damages.  
  • Will students in K-6 be charged for damages or theft of a Chromebook? The Chromebook will be treated like school property.  In the event the damages or theft are deliberate, the situation will first be handled by the Dean of Students as a disciplinary act.  The family of the offending student may be charged for the cost to repair damages or replace the device.
